Securing your Files

Think of your own company. You might have people in sales, accounting, administration and management. Management usually needs access to all files. Accounting staff may need access to only receivables or payables within an accounting program and some spreadsheets outside of that. Sales people may need access only to their own personal files and a common or public area where all sales staff shares files. So how do you sort all this out? How do you give people access to certain files, while giving others less access or none at all? Thats where Seerx can help you out:

  • Setup Microsoft's Active Directory - giving you the ability to setup Users and Groups
  • Create Users - everyone in your company gets a username to use on the LAN
  • Create Groups - Management, Accounting, Sales, etc.
  • Populate the Groups with Users
  • Share files that reside on the server out to certain "Groups" by creating "Shares"
  • Setup permissions on those "Shares" so that ONLY certain "Groups" can access them

Encryption and Authentication

Say you have real important information. You wish to protect it. In the old days, that was done by placing the document in a safe and locking the safe with a "key" (either a real key or a numeric combination). Today, you can still do that with the printed version, but why take the chance? Safes can be "busted" or "cracked". Better to take the digital version and encrypt it using an algorithm (a mathematical formula) and a secret "key" only you know. Once encrypted, the file is useless to anyone who might gain access to the file. It will only make sense to those individuals, that know WHAT program was used to encrypt the file AND what the "key" to that algorithm was. Authentication in the world of computers is the act of establishing that someone (or something) is authentic. An everyday example would be a person utilizing a username and password combination to login to a computer - the Operating System will authenticate that person is who they say they are based on a static username / password database. Seerx recommends strong passwords (at least 3 different types of characters from the following list - lowercase, UPPERCASE, numbers or symbols). Seerx can assist you in making sure that the computers in your office follow this type of standard and that the users change their passwords on a regular interval.
